Search Union County Clerk Records

Union County County Clerk records cover the county-level documents that are not state court case files. A Union County County Clerk records search may involve land records, recorded instruments, marriage licenses, wills recorded with the clerk, notary bonds, liens, plats, delinquent tax records, and local open-records requests. Court case files still go through the Circuit Court Clerk, while County Clerk materials are searched online, in person, or through the clerk's written request process.

Union County Clerk Records

The official Union County Clerk page names Garrick Thompson as County Clerk. The office is located in the historic county-government courthouse in Morganfield, not in the state-court annex used by the Circuit Court Clerk. The County Clerk's work includes recordings, marriage licensing, voter registration, delinquent real estate tax processing, notary bonds, motor vehicle licensing, and other county record functions.

That split matters. A divorce case, felony case, traffic citation, or District Court probate file is handled through the Kentucky Court of Justice and the Circuit Court Clerk. A deed, mortgage, plat, recorded will, marriage license, lien, notary bond, or open-records request to the County Clerk goes through the County Clerk. The Union County Clerk recordings page is the main local source for record categories, fees, document standards, eCCLIX access, marriage-license details, e-recording vendors, and DOC ALERT notices.

Union County Recorded Documents

Union County recorded documents include real-estate and other public instruments filed with the County Clerk. The recordings page lists land-record categories such as condominiums, corporate records, deeds, fixture filings, other UCC filings, land use restrictions, liens, mortgages, plats, releases, and wills. It also lists miscellaneous categories such as bail bonds, delinquent real estate taxes, handicap parking permits, fishing and hunting licenses, marital agreements, prenuptial agreements, marriage licenses, and notary bonds.

The clerk's page says the Kentucky County Clerks Association adopted PRIA real-estate document formatting standards effective January 1, 2020. Union County recording standards include 20 lb paper, white paper with no watermarks, one-sided print, no staples or binding, no impression seals, no colored highlight markers, black ink preferred, dark blue signatures allowed, a 3-inch recommended top margin on the first page, 1-inch margins elsewhere, and 10-point Times New Roman or equivalent text.

  • Land records: deeds, mortgages, plats, releases, liens, land use restrictions, UCC-related filings, and corporate records.
  • Estate-linked recordings: wills, will disclaimers, will renunciations, affidavits of descent, powers of attorney, and estate-related deeds.
  • Marriage records: marriage licenses issued by the County Clerk, with both parties appearing together.
  • Public in-office access: Union County Clerk records may be accessed at no charge in the office at 100 West Main Street.
  • Motor vehicle work: the License Department handles vehicle registration through its separate phone line.

Union County eCCLIX Search

Online access to Union County County Clerk records runs through eCCLIX, the Kentucky land-records platform used by more than 50 county clerk offices. The Union County Clerk page describes two routes. Commercial User Records Search is for businesses and people who research documents as a business, with subscriptions and added-county options. Private Citizen Records Search is for Union County residents searching for personal reasons with no commercial gain.

Private citizen access is limited to Union County records and five searches per day. The local page says there is no charge for that service. Commercial access carries subscription costs. The general eCCLIX site lists a larger central cost schedule, while the Union County local page lists Union-specific amounts. When the two differ, Union County's local page should be used for Union County County Clerk records.

The eCCLIX platform source shows the online records access path referenced by Union County.

Union County Open Records

The Union County Clerk open-records policy sets a written request process for clerk-held public records. Requests may be hand-delivered, mailed, or faxed to the County Clerk. Email requests are not accepted. The policy says the clerk makes a determination within three working days from receipt, excluding Saturdays, Sundays, and legal holidays, and the requester is notified in writing.

Exempt information may be withheld under KRS 61.878. Commercial-purpose requests may require a certified statement under KRS 61.874, and approved commercial applicants may need a contract that states the fee required to produce copies, including labor costs. Non-commercial copies and postage must be paid in advance.

Marriage Land and Wills

Marriage licensing is a County Clerk function in Union County. Both parties must appear together, sign and swear to the application before the clerk, and use the license within Kentucky within 30 days. There is no waiting period and no blood test. Both parties must be 18 to marry in Kentucky, and first and second cousins are not permitted to marry in Kentucky under the clerk's local instructions.

Recorded wills and estate-linked instruments can also appear in County Clerk records. District Court handles probate of wills, and Circuit Court handles contested probate matters, but the County Clerk recordings page lists wills, will disclaimers, will renunciations, affidavits of descent, and powers of attorney among recorded instruments. Estate researchers often need both the court probate file and the recorded-document search.

  1. For a marriage license, both applicants appear at the County Clerk office during regular office hours.
  2. Bring identification and provide names, addresses, birth details, parents' names, prior marriage status, occupation, race, relationship information, and planned marriage date.
  3. Sign and swear to the application before the clerk and pay the non-refundable license fee.
  4. For recorded wills or estate instruments, search eCCLIX, visit the office, or submit a written open-records request if inspection or copies are needed.

DOC ALERT and E Recording

The Union County Clerk recordings page announces DOC ALERT by Software Management, a free email notification tool that alerts registered users when a mortgage or deed bearing their personal name or business name is recorded. This is a records-protection tool. It does not block a recording, erase a filed instrument, or replace a title search, but it can give early notice that a deed or mortgage has appeared in the clerk's index.

The recordings page also says the clerk was moving toward e-filing and e-recording so records could be recorded electronically without mail, FedEx, UPS, or hand delivery. Listed vendors include Indecomm, Hopdox, CSC, Simplifile, and ePN. Filers should confirm the current vendor setup and formatting rules before submitting electronically.

The Kentucky driver and transportation records channel is separate from Union County County Clerk recordings, but the manifest source helps show why vehicle and driver records are not the same as land or court records.
